Notice regarding the increase in processing time from application to issuance due to changes in passport specifications and the discontinuation of the postal application service for paper submissions

Sharing information regarding passport application & issuance from the Consulate-General of Japan in Vancouver. Below is an excerpt of the announcement:


  1. Online Appointment System for Consular Services

To alleviate congestion at the consular service counters and expedite consular services, visitors for passport applications, various certificates, visas, and family register/nationality-related filings are now required to make an online reservation starting Tuesday, September 3. Thank you for your understanding and cooperation. Reservations can be made through the Consulate-General’s website:Reservation System

Additionally, the website provides information on consular services that do not require prior reservations, such as receiving already-issued passports, certificates, or visas during specified afternoon hours, and emergency assistance for Japanese nationals. Please confirm the details before visiting the Consulate-General.


2. Changes to Passport Specifications and Increased Processing Time

From March 24, 2025, new passports incorporating a plastic data page for enhanced anti-counterfeiting measures (the "2025 Passport") will be issued. Current passports remain valid until their expiration dates, but please confirm the validity of your passport. If your passport has less than one year of validity remaining, you can apply for a renewal.

Currently, passports are issued approximately five days after application. However, from March 24, passports will be produced in Japan and shipped to overseas consulates, requiring approximately one month for processing. In Japan, processing will take about two weeks.

Specific delivery dates will be provided at the time of application, with a follow-up notification when the passport is ready (via phone for paper applications or email for online applications through the ORR Net system).Passport Details


3. Discontinuation of On-Site Issuance for Remote Residents

Previously, remote residents submitting paper applications could receive their passports at mobile consular services or on their designated visit date. Due to centralized passport production in Japan, these services will end on March 24, 2025.

Those needing same-day passport issuance should ensure their application materials arrive by March 21, 2025. For remote residents, online application services are recommended for continued convenience. For detailed instructions on online applications, visit:Online Passport Applications


4. Recommendations for Family Members in Japan

Please advise family members residing in Japan to obtain a passport, even if they currently have no specific travel plans, in preparation for unexpected travel needs.

5. Incidents in Vancouver and Surrounding Areas

Recently, random assault incidents have occurred sporadically in Vancouver. While Canada is generally perceived as safe, please remain aware of your surroundings and take precautions to avoid becoming a victim of crime.
